Graduate Research Training Policy
The revised Graduate Research Training Policy (MPF1321) takes effect on 1 January 2025, merging with the Supervisor Eligibility and Registration Policy (MPF1322) for improved and streamlined guidance. Supporting documentation will be released from 2 January. Supervisors and staff are encouraged to review the resources as they become available.
Existing pages on the Graduate Research Hub, graduate research Staff Hub and Promapps etc will also updated during early January to reflect the new version of the policy.
New pages will also be added to the GR Hub to publish the new Pro Vice-Chancellor approved Processes associated with the revised policy, as well as pages around Mandatory Training and a new Checklist for commencing candidates.
The FAQs in the GR Hub will continue to be updated throughout. For any questions relating to the forthcoming change in policy not answered in the FAQs, please contact: gr-chancellery@unimelb.edu.au.

New Version of Change of Project Details
The change of project details form has recently been updated to include changes to align with the endorsement and approvals required as part of the revised Graduate Research Training policy.
Requests that include a change of supervisor or change of advisory committee membership, the Advisory Committee Chair will be asked to endorse the change on the form. The form will not be sent to the principal supervisor for endorsement.
In line with feedback from administrators, this update has also removed the supervisor grid and replaced it with a free text box to record any changes to supervision. These will need to be manually recorded in Ci by faculty graduate research administrators who will be asked to confirm on the form that the details have been updated.
There will be a second update to this form in early 2025 to include questions relating to the change to the maximum supervisory load and maximum number of co-supervisors under the new policy. Graduate Researchers Emails Transitioning to Outlook
All student emails will be transitioning to Outlook (Microsoft 365) on Wednesday 18 December.
After this date graduate researchers will still be able to access their emails as they had previously using my.unimelb. However, there are some actions they will need to take to access their emails if:
- They are using an email client such as Outlook, Apple Mail or Gmail etc. – They will need to remove their existing student email account from the client and reconfigure it. For those already using Outlook they can refer to the following Microsoft page for instructions.
- Automatic email forwarding is set up in their current student email through Gmail – This will need to be re-enabled in Outlook. Instructions on how to re-enable this feature can be found on the Turn on or off automatic forwarding in Outlook.com webpage.
Graduate researchers should also be reminded to:
- Start saving their work in Microsoft OneDrive
- Clean up files saved in Google Drive and migrate them to Microsoft OneDrive by the end of 2025
If there are graduate researchers who experience difficulties in accessing their email after the transition, the Student IT support desk will be available to assist them except on the public holidays during the University shut down period.
