Staff Travel Policy Updates – May 2022
The University’s Travel Policy has been updated, following collaboration and consultation with stakeholders, to reflect changes in travel requirements following recent global activities. Some of the key features of the revised Travel Policy include:
- Further clarity of responsibilities for the traveller and travel approvers;
- Traveller responsibilities appear earlier in the policy to highlight what is required to obtain approval for travel;
- Approval escalation for travel to DFAT 3 and 4 destinations has been clearly defined and outlined under each role and responsibility;
- Addition of Head of Budget Division responsibilities;
- Improved definitions of ‘High risk’ destinations, externally funded University business-related travel and relevant travel advisories.
The updated policy ensures consistency between the policy, UniTravel and any guidance notes or other materials produced by the University. It is important that staff familiarise themselves with the policy prior to travelling.
Training
TrainMe travel module
A new online travel training module has been developed on TrainMe to provide an animated informative journey through the University travel cycle. The module is aligned with the Travel Policy and travel system. The training includes modules on traveller/traveller-arranger responsibilities, high risk travel, and supervisor/authoriser responsibilities.
The training:
- clearly defines high risk travel with traveller, supervisor and authoriser responsibilities;
- provides guidelines for an authoriser to follow when reviewing a high-risk assessment form;
- outlines the process to authorise high risk travel in UniTravel. An authoriser guide is being created for distribution;
- provides information on the University’s travel risk provider, Healix International, the services they offer and how they can be contacted.
