Important Information About MERI Reimbursements

The University will be implementing a new Enterprise Resource Planning (ERP) system. For this to happen the University is virtually closing down a number of BAU activities from the end of March until some time in May. This will impact staff and GRs if they are requiring out of pocket reimbursements from the University. Salaries and stipends SHOULD NOT be impacted by this.

The advice provided by the University is:

Out-of-pocket reimbursement claims cannot be made between 31 March – 23 May. Hold onto your receipts during this time so you can create the claim in Workday from 24 May, or preferably, arrange for alternative payment methods to avoid needing reimbursement. 

If you are requiring approval from MERI for out of pocket reimbursements or MERI funded projects, these need to be entered into Themis and approved by 21 March 2025. After that date, approval will be given once the new ERP system is implemented which is anticipated to be 24 May 2025.

Apologies for this inconvenience but the ERP will supposable “provide a simpler, clearer and more user-friendly platform for our HR and finance (Workday) and research management (Workday and Cayuse) activities.”
